Case Study: IT Governance and Compliance via Email Archiving and Retention

Company Overview:

The client is a leading provider of quality, customer focused security solutions in the United States. The company provides its industry-leading integrated security and related services to local, regional and national customers. Their primary service divisions include Security Services, Nuclear Security and Energy Consulting Services, Government Services, Automated and Integrated Security Management Systems; and Consulting and Investigations.

Business Challenge:

Due to the nature of the client's customers (banks, government agencies, nuclear power companies), they have varying requirements to retain email communication and subsequently must conform to SOX, HIPPA, and other regulations. Also, discovery requests associated with litigation require that electronic information be produced in its original form. E-mail and other electronic content needs to be saved, unmodifiable, and protected from accidental deletion for a specified period of time. Therefore they needed a solid archiving policy that they could enforce and a solution to abide by those policies. They were using Lotus Notes and Domino for their environment and as such needed a compatible solution. They were also seeing accelerated growth in disk utilization due to email and needed to control its long term growth.

Archiving and Compliance Solution:

The client, with Strongback's help created a corporate email retention policy that ensured the storage of seven years of email artifacts with a purge after 7 years. Strongback Consulting implemented IBM DB2 Commonstore for Lotus Notes to handle automated archiving of email to central, secure storage using IBM DB2 Content Manager Enterprise Edition. Email discovery was facilitated using IBM eDiscovery Manager.

Results:

Existing Lotus Domino disk utilization was decreased by over 50% immediately after deployment. Within a few months the legal team needed to perform a discovery for a pending litigation case. The client was able to use the integrated web client with little IT intervention and this greatly helped to successfully defend a lawsuit.
